How to track chair rental and booth expenses without a bookkeeper

Renting a chair or a booth means you are running a business, whether or not it feels like one. The money that hits your account is not what you keep. Rent comes out. Color and backbar come out. Card processing takes a slice of every swipe. Supplies, education, and tools come out in lumps you forget until they land.

You don't need a bookkeeper to stay on top of this. You need a short list and a habit.

Step 1: List your fixed costs once

Fixed costs are the ones that show up whether you were busy or not. Write them down a single time and stop re-deciding them every month.

  • Chair, booth, or suite rent
  • Booking or POS software subscription
  • Insurance and licensing, spread monthly
  • Phone and internet, if you use them for work

Step 2: Track variable costs as they happen

Variable costs move with how busy you are: color, backbar, extensions, acrylics, disposables, laundry, card processing fees. Log these when you buy them, not at the end of the month. A photo of the receipt and a category is enough.

Step 3: Set aside the lumpy stuff

Education, new tools, a trade show, and taxes are not surprises. They are predictable amounts on an unpredictable calendar. Pick a percentage of each week's income and move it before you spend it. Even a small, consistent set-aside removes most of the panic.

Step 4: Look at one number weekly

Total money in, minus total money out, for the last seven days. That's it. Do it on the same day each week so it becomes a habit rather than a decision. Over a couple of months this single number teaches you your real margin, your slow days, and which services are actually worth your chair time.

  1. Open your tracker on the same day each week
  2. Confirm income for the week
  3. Add any receipts you haven't logged
  4. Move your set-aside percentage
  5. Read your margin and move on with your life

Step 5: Notice what triggers unplanned spending

Product hauls, impulse tool upgrades, and takeout after a double often cluster around specific weeks. If you note how the week felt alongside what you spent, patterns surface fast — and patterns you can see are patterns you can plan around.
